Job Description

Under general supervision, the Administrative and Education Coordinator provides executive-level administrative support to faculty in the Department of Neurosurgery in their administrative, teaching, research, and service activities. Responsibilities include coordinating and executing projects, independently composing correspondence, managing complex appointment calendar and travel arrangements, coordinating meetings and special events, and serving as liaison with constituents on behalf of Department faculty.

Processing payment authorizations, purchase orders, and travel reimbursements using online system(s). Maintaining academic files, promotion tracking, CVs, timesheets, and credentialing. Overseeing and coordinating all HRPP/IRB paperwork, ensuring compliance with IRB and HIPAA regulations and procedures for the UC San Diego, affiliated hospitals, clinics and physician practices. Other special projects as assigned.

Provides administrative support for the residency program and departmental educational initiatives. Responsible for some administrative aspects of the residency program recruitment and coordination processes, including but not limited to interview scheduling, grand rounds and didactic planning, special event development and set-up, and resident certifications and files. Performs other administrative support tasks as required.

MINIMUM QUALIFICATIONS
  • Demonstrated experience working in a medical/research setting.

  • Demonstrated knowledge of residency training program administration and requirements.

  • Strong problem-solving and analytical skills.

  • Excellent ability to communicate clearly and effectively both orally and in written form. Accurate proofreading and editing skills with knowledge of proper formats.

  • Strong experience with Microsoft Word, Excel, PowerPoint, Outlook and other office programs. Fast and accurate transcription/typing/word processing skills. Skill with setting up and maintaining filing systems for rapid and easy material retrieval.

  • Experience with Human Subjects Protections, regulation and/or compliance in a university or research institute setting or at the federal level. Experience preparing, reviewing and understanding clinical research protocols and protocol amendments.

  • Knowledge of Good Clinical Practices, FDA, HIPAA and IRB regulations, and an understanding of research procedures. Working knowledge of UCSD Human Research Protections Program (HRPP/IRB) policies and Procedures.

  • Ability to work independently or as part of a team as necessary.

  • Excellent interpersonal skills in order to request information from and to provide information to various sources, and to negotiate solutions to issues that are compatible with policies, regulations and the requirements of various parties.

  • Ability to exercise judgment, tact, and firmness in interaction with faculty, students, staff and IRB members, subjects and others. Ability to make appropriate decisions and maintain strict confidentiality.

  • PREFERRED QUALIFICATIONS
  • Proven knowledge of UC policies and procedures.
  • Knowledge of medical terminology.
  • Experience and knowledge of the MedHub Evaluation System.
  • Experience and knowledge of faculty and residency recruitment process.
  • Knowledge of the Electronic Residency Application System (ERAS).

  • Employment is subject to a criminal background check.
  • Must be able to work occasional overtime as required.
  • Must have access to reliable transportation.
