Overview We are hiring a versatile Operations/Executive Administrative Assistant who can complete administrative tasks and perform operations analysis for various business initiatives for the CEO or the CEO Office. This role will report to SVP, Office of the CEO. The ideal candidate will have a mix of executive administrative experience with the ability to analyze data, drill down problems, strategize solutions, and support solution implementations. Responsibilities Coordinate daily calendars of CEO, plan appointments and events Act as the point of contact between executives and employees/clients Create regular reports and update internal databases Make travel arrangements Manage phone calls and emails Respond promptly to managers’ queries Facilitate internal communication (e.g. distribute information and schedule presentations) Suggest more efficient ways to run the office and troubleshoot malfunctions Review and recommend changes to our company policies Gather data, analyze data, interpret data, research best practices for various projects and support developing the solutions and recommendations for business initiatives. Provide help needed for the success of various business initiatives. Produce ad hoc data analysis and reports to provide actionable insights and facilitate business decisions. Provide support to CEO such as internal and external meeting scheduling, meeting minutes, meeting follow up; travel arrangement; data collection and PowerPoint preparation for board meeting, shareholder meeting, and other meetings; etc. Other responsibilities as assigned. Qualifications Bachelor’s degree 2+ years’ experience in operations, business administration or business analysis or a related field Time management, project management/coordination, multi-tasking Exceptional analytical and problem-solving skills Excellent communication skills and interpersonal skills Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail Expert in Outlook, Excel, PowerPoint, etc.
