Location: Long Beach, CA

Department: Marine Construction

Reports to: Construction Operations Manager

Schedule: Full-time


The primary responsibility is to assist the Project Coordinator with administrative duties including answering phones, taking messages, following up with customers, organize meetings, manage records, filing, copying, scanning, ordering supplies.


  • Assists Project Coordinator in searching for and vetting bid opportunities.
  • Notify Marine Construction team members when potential projects have been released.
  • Creates market surveys and sources sought for potential projects.
  • Attends mandatory pre-bid meetings as directed.
  • Updates Marine Construction Forecast weekly.
  • Assist Project coordinator in reviewing project plans and specifications as directed
  • Assist in any additional administrative support to the Project Coordinator as directed.
  • Creates, updates and modifies submittals for upcoming projects.
  • Assembles project deliverables timeline.
  • Updates RMS with required project information.
  • Available to deliver bid packages.
  • Order plans and specs to provide to the Construction Team.
  • Updates resumes on an as need basis.
  • Assists Marine Transportation team with various administrative duties
  • Reviews project plans and specifications with Project Coordinator and Construction Operations Manager.
  • Maintains electronic and paper filing system

Physical Aptitudes Required:

  • This is primarily a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Ability to lift, up to 20 pounds for files, deliveries and related supplies. Vision or correctable vision to 20/20.
  • The work environment includes the frequent use of stairs.
  • Ability to work in an office environment and follow HS&E safety protocols when walking through a maritime construction area.
  • This role routinely uses standard office equipment such as computers, office phones, smart phones photocopiers, filing cabinets and fax machines.
