Job Summary

The Medical Records Technician is an expert in managing patient health information and medical records, administering computer information, collecting, and analyzing patient data, understanding ethical and legal guidelines and federal and state regulations. The Medical Records Technician oversees the daily operations of the Health Information Management (HIM) Department in coordination with the Supervisor.

Essential Job Functions

Medical Records

  • Holds the primary responsibility for patient records
  • Provides oversight, guidance, and work flow of all Health Information Management staff including:
  • The release of information, record processing, physician s incomplete area, scanning, coding/abstracting and transcription services.
  • Collaborates with IT and Clinical informatics team to ensure that maintenance and user issues are dealt with in a timely fashion
  • Identifies and implements changes regarding policy, productivity, and quality measures.
  • Assures staff performance improvements related to work-flow efficiencies and operations.
  • Analyzes system’s data and prepare reports for clinicians, administrators, and finance.
  • Communicates with coding and billing and create audits to advise on clinical documentation improvement
  • Ensures all Quality (State and Federal), Infection Control abstraction to NHSN and State of Colorado, are submitted timely and reviewed for errors prior to final submissions and uploads.
  • Ensures IT/EHR registries, mandatory submissions to Federal and State, and corporate partners are met.
  • Staffing

  • Recruits, interviews, and makes recommendations to fill personnel vacancies
  • Coordinates staffing issues and procedural issues with HIM Supervisor
  • Evaluates staff performance on an annual basis. Accurately measures and evaluates staff performance, productivity, and quality measures, and assures that staff is following and meeting departmental standards
  • In coordination with the Supervisor, trains, provides feedback, evaluates and provides corrective action to staff as needed
  • Ensures staff maintain a positive customer service attitude
  • Prepare, Oversees and approves work schedules
  • Covers the schedule for call-ins on a daily basis
  • Verification and approval of time cards
  • Demonstrates the spirit of the philosophy, mission, and values of the hospital through words and actions and implements them into departmental processes, programs, and the working environment.

    Minimum Requirements

    Education & Licensure: High School Graduate or equivalent, Computer skills required

    Certifications: RHIA is preferred and highly desired

    Experience, Training, Knowledge: At least three years’ experience in an acute care facility with experience directly related to Health Information Management. One year experience hospital based electronic medical record, Cerner experience preferred. Expert in HIPPA, health record securities, and confidentiality. Conversant with medical terminology and a clear understanding of health care procedures and regulations. Previous Management/Supervisor experience preferred. Experience with Qnet, NHSN, eCQMs, HCAHPS, CORHIO, AJRR, preferred.

    Physical Requirements

    This position requires lifting, carrying, pushing, and/or pulling up to ten (10)+ pounds. Stooping, kneeling, crouching, reaching, grasping, handling, and balancing five (5) or more hours per day. Sensory and communicative activities including: hearing, seeing, and speaking to be able to carry out essential job functions.

    Working Conditions/Environmental Exposures

    Normal office environment. Hazards are minimal if safety precautions are taken. Protective clothing/equipment normally not necessary.

    ASH IMMUNIZATIONS AND VACCINATIONS REQUIREMENTS – Aligns with CDC’s Advisory Committee on Immunization Practices (ACIP) for Healthcare Personnel

    Hepatitis B- Lab evidence of immunity to Hepatitis B or three doses Hep B vaccine at appropriate intervals

    Influenza- mandatory from November 1st through March 31st each year

    Measles, Mumps, and Rubella - Lab evidence of immunity to Measles, Mumps, and Rubella or 2 doses of MMR Vaccination

    Varicella (chickenpox) - Lab evidence of immunity to Varicella or 2 doses of Varicella Vaccine

    Tetanus, diphtheria, pertussis (Tdap) - documented proof of immunization

    Tuberculosis Screening- All new-hires undergo a two-step TB skin test
