Rebate Program Specialist (entry level accounting experience helpful)

Job Description

Track and monitor customer accounts to determine eligibility for rebates per the terms of the program they are set up for. If you have an accounting mindset, experience with accounts receivable, or top-notch reporting skills, this may be the job for you!

Purpose: Oversee customer rebate programs from start to finish. Will process new requests and set up in the system once terms are set by the VP of Sales. Prior to rebate payments needing to be generated (programs can be monthly/quarterly/bi-annual/annual) will review customer data to determine eligibility. Will then work with Accounting to generate checks and will enter in data for clients preferring credit memos. The goal is to incentivize specific types of sales and reward clients for achieving those goals.

Hours: Standard work hours are 8am 5pm, alternate hours can be discussed.

Duties:

  • New Rebate Requests & Setup
  • Receive Rebate Request Forms (generally from Sales), confirm it contains required information
  • Run a client report for the prior month and submit with the request form for the VP of Sales for review
  • If approved, will be notified of the specifics of the rebate program and will be responsible for setting up the program for that customer in our system (TrackMax)
  • On average will set up 5-10 programs per week
  • Credit Rebate Processing & Payment
  • For approximately two weeks every month, this will be the primary focus with tight due dates
  • Check on customer accounts to determine if eligible for rebates; terms of rebates may be based on payment timing, volume, incentives for specific products, etc.
  • Utilizing TrackMax will check on the progress of all of the active rebates
  • Will also pull sales reports from Insight and match to TrackMax to confirm no data error to determine correct rebate amount and qualification. If errors, need to investigate and resolve.
  • When all rebates for that period have been confirmed:
  • generate the rebate payment report to send to accounting for checks
  • enter in the rebate amount and corresponding information for customers who prefer credit memos and the perform subsequent verifications for accuracy
  • Send backup documentation to major clients providing verification of amounts awarded
  • Other Duties as Assigned
  • During the two weeks per month not actively working on processing rebates, will have some free time and will be assigned different projects to assist the team
  • Experience & Qualifications:

  • Basic computer skills required with experience inputting information and running reports highly desired
  • Attention to detail is essential
  • Strong organizational skills required
  • Ability to communicate effectively and professionally via phone and email required
