Job Description

Our growing, dynamic team is currently seeking a motivated, dependable and energetic Receptionist/ Front Office Assistant who is seeking an opportunity with a long-term future in banking & lending operations at our location in Astoria, New York. This qualified individual will provide exceptional customer service to clients and assist in expediting their needs. The candidate will also be responsible for answering incoming calls, directing calls to appropriate staff, mail distribution, processing correspondence, greeting clients, scheduling assistance, and other administrative tasks as needed.

Job Functions:

  • Meet, greet and escort all guests and outside vendors visiting the premises. Maintain clean organized reception area, and guest sign-in book along with visitor records;
  • Responsible for answering, operating and directing all incoming and outgoing telephone calls;
  • Ensure that phone calls and visitors are directed to the appropriate staff or department in a professional and timely manner;
  • Serves as the front office “go-to” person;
  • Takes and retrieves messages for all personnel as needed;
  • Provides callers with information such as company address, directions to the company location, company email or fax numbers, company website and other related information;
  • Processes correspondence, files, records minutes and performs other specific duties for management staff;
  • Manage scheduling and coordination of conference rooms as directed;
  • Receives, sorts and forwards incoming mail;
  • Assists with other related clerical duties such as photocopying, filing, and collating;
  • Perform other duties and projects as assigned.
  • Job Requirements:

  • Minimum of 3 years of experience in a customer service or front office role with a lending, or financial services company;
  • Excellent written and verbal communication skills, positive attitude and customer service skills a must;
  • Independent, motivated, proactive and focused to take action;
  • Ability to listen and use available resources so that calls and potential client inquiries are directed timely and efficiently;
  • Ability to use general office equipment such as computer, email, copiers, printers, scanners, fax machines, etc.;
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
