Travel and Training Coordinator

JECSI is a mid-sized company of environmental consultants and engineers and technical, scientific, and business software application developers and engineers that provides environmental, health and safety services to large industrial companies. JECSI has an immediate opening for a Training and Travel Coordinator.

Under the general direction of executives and managers, the Training and Travel Coordinator performs a variety of tasks in broad-spectrum areas of office administration that include the following.

Essential Duties

  • Prepare travel arrangements for domestic and international travel.
  • Coordinate hotel, flight, and rental car reservations, ensuring accuracy and compliance with company’s travel policy.
  • Negotiate and secure travel contracts with air, hotel and rental car agencies to assure best value.
  • Ability to process last minute travel requests or rearrange travel arrangements.
  • Process and maintain applications required for international travel including visas and passports.
  • Organize and compile complex itineraries.
  • Maintain records of travel arrangement.
  • Perform various department administrative duties, as assigned.
  • Create requisitions and purchase orders as requested.
  • Coordinating client training events.
  • Handle coordination, scheduling, and logistics for training activities including venues and equipment.
  • Perform basic data entry tasks.
  • Maintain a clean, orderly, professional environment.
  • Position requirements

  • Bachelor's degree in either business administration or related field.
  • Excellent time management and organizational skills.
  • Self-starter with the ability to work independently and in a team environment.
  • Excellent written and oral communication skills with the ability to effectively communicate ideas and properly describe problems and solutions.
  • Must be able to multi-task, and handle multiple interruptions.
  • Must have computer proficiency in Word, Excel; Adobe Acrobat proficiency is a plus.
  • Must possess accurate data entry skills (45+ words per minute with minimal errors).
  • Legally authorized to work in the United States.
  • Other desirable skills

  • 1- 2 years of experience in travel coordination.
  • Strong working knowledge of MS Office.
  • Experience with project management and office management.
  • Working conditions

    The job is performed in an office environment with minimal exposure to safety hazards. The job requires some physical exertion, including sitting, standing, occasional light lifting, carrying, pushing and pulling. The job requires operation of standard office equipment, including computers, telephones, copiers, etc. The job requires following written and oral instructions, attention to detail, ability to multitask, ability to work with others and ability to meet deadlines. The job requires following established policies and procedures, meeting quality and safety standards and regular attendance. The job requires making decisions based on experience and knowledge without supervision and requires responsibility for results.

    Some job functions are performed in an office environment with minimal exposure to safety hazards. The job requires operation of standard office equipment, including computers, telephones, copiers, etc. The job requires domestic and international travel for up to 14 days at a time. International travel is a requirement with a particular focus on Africa, Asia and the Middle East. Field work requires significant physical exertion, including sitting, standing, heavy lifting, carrying, pushing, pulling, stooping, bending, kneeling, and reaching. Work is performed indoors and outdoors around machinery and forklifts. Some tasks may require exposure to dampness, heat, humidity, or cold temperatures. Work on ladders, elevated platforms and slippery uneven surfaces may be required. The job requires following written and oral instructions, attention to detail, ability to multitask, ability to work with others and ability to meet deadlines. The job requires following established policies and procedures, meeting quality and safety standards and regular attendance. The job requires making decisions based on experience and knowledge without supervision and requires responsibility for results.

  • Salary is based on experience and qualifications.

  • Training will occur in Vermont and California. The candidate selected for the position will be required to spend two consecutive weeks in each location during first two months of employment. Position may require occasional travel to both locations.
